Zenith Street needed more structure with its day-to-day operations as there were no real processes in place.

All my processes were managed from individual platforms. I used MailChimp for e-newsletters and Excel to manage client communications. This very basic system was not user-friendly, and the more I added to it, the more messy it got. Most importantly, I couldn’t add prospecting information against my client records and response rates to marketing communications were low as a result. None of these platforms linked together so there was duplication and missing information.

Eventually the Excel spreadsheet became enormous and I couldn’t keep track of client developments and projects. Client information was scattered around spreadsheets as well as hard copy paperwork, which made monitoring progress very difficult.

I needed a single user interface for lead nurturing and client communications. I was clearly losing up-selling and cross-selling opportunities and instead of nurturing existing leads, I’d be topping up the funnel with new ones, and therefore neglecting the all-important existing prospects. There was also lots of additional duplication as calendars were not synced with spreadsheets,
so there was a hefty paper trail.

Managing the prospect funnel was a very slow and messy affair. I’d have stacks of prospects’ business cards that would need inputting into Excel by one of my team, or I would waste money outsourcing the work. This was very time-consuming and posed a significant data security risk. I researched the market pretty well but found that the other options did not have the flexibility, control or support.

“The finance module enables me to check the health of the business on a daily basis, unlike before, where I would only been able to access a quarterly overview from my accountant. Now I can check the financial status of the business at any time and check the latest forecasts. My clients can pay invoices quickly and securely via PayPal or Stripe and the solution is linked to my personal and business bank accounts. This creates a very convenient, single view of my finances and I now have one log-in instead of ten!”
